Privacy Policy — Pantry by Clare
Last Updated: October 3, 2026
This Privacy Policy explains what information Pantry by Clare, operated by Pantry by Clare, LLC (“we,” “us,” “our”), collects, how we use it, and the choices you have. By using the App, you agree to the practices described here.
1. Information We Collect
1.1 Account Information
When you create an account, we collect your email address and a securely-stored password (managed through our authentication provider — we never see or store your password in plain text).
1.2 Household Information
We collect the names and email addresses of people you add as household members or Trusted Senders, so the Service can identify who is authorized to access or contribute to your household’s pantry.
1.3 Receipt and Purchase Data
When you forward a receipt by email or submit a photo of a receipt, we process its contents to extract item names, prices, quantities, store names, and purchase dates. When you forward a receipt email, we process the full content of that email, including the sender and any text or formatting it contains, in order to identify what you purchased.
1.4 Pantry Data
We store the items in your household’s pantry, including descriptions, quantities, prices, categories, expiration estimates, and which household member added or used each item.
1.5 Photos
If you scan a receipt using your device’s camera or upload a receipt screenshot (for example, from Costco, Target, or Walmart), the image is sent to a third-party image-recognition service (see Section 3) to extract text. We do not retain the original photo longer than necessary to complete this processing.
1.6 Subscription Status
For households with an active or trial subscription, we store the subscription’s status (trial, active, expired, canceled) as provided to us by the applicable app platform. We do not receive or store your payment card information — that is handled entirely by Apple or Google.
1.7 Terms Acceptance Record
When you create or join a household, we store a record that you accepted our Terms of Service: your account ID, the date and time, and the version of the Terms you accepted. We keep this record so we can demonstrate what you agreed to.
1.8 Recipe Search Counts
To keep the recipe feature within fair-use limits, we keep a count of recipe searches for each household for each calendar month. The count is tied to your household, not to individual search terms.
1.9 Usage and Log Data
We automatically collect limited technical information related to how the Service is used and any errors encountered, to help us maintain and improve the Service.
2. How We Use Information
We use the information we collect to:
- Provide and operate the Service, including parsing receipts and maintaining your household’s pantry
- Estimate expiration dates and send you reminders
- Suggest recipes based on your pantry contents
- Verify your subscription status
- Communicate with you about your account, receipts that could not be processed, or changes to our policies
- Maintain the security and integrity of the Service
3. How We Share Information
3.1 Within Your Household
Pantry data, purchase history, and information about who added or used each item is visible to every member of your household. This is a core, intentional feature of the Service — households are meant to share this information. If you would prefer certain purchases not be visible to other household members, do not add them, or discuss this with your household before using a shared account.
3.2 Third-Party Service Providers
We share information with the following categories of service providers, solely as necessary to operate the Service:
| Provider | Purpose | What’s Shared |
|---|---|---|
| Google Firebase / Google Cloud | Hosting, database, and authentication | All account and pantry data |
| Google Cloud Vision API | Reading text from scanned receipt photos | Receipt photos |
| Mailgun | Receiving forwarded receipt emails and sending notification emails | Email content and addresses |
| Spoonacular | Recipe suggestions | Ingredient/cuisine search terms — not your personal or account information. We may temporarily cache search results (for up to one hour) so that identical searches don’t need to be repeated. |
| Apple App Store / Google Play, via RevenueCat | Subscription billing and status | Subscription status; payment itself is handled entirely by Apple/Google |
We do not sell your personal information to third parties, and we do not share it for third-party advertising purposes.
3.3 Legal Requirements
We may disclose information if required to do so by law, or in a good-faith belief that disclosure is necessary to comply with legal process, protect our rights, or protect the safety of our users or the public.
4. Data Retention and Deletion
You can delete your account at any time from within the App (Personal Settings → Delete Account). You can also request deletion without using the App at pantrybyclare.com/delete-account, or by emailing [email protected] from the address on your account. What happens to your data depends on your role in your household, and mirrors the account deletion rules in our Terms of Service:
- Sole member of a household: deleting your account permanently and immediately deletes all of that household’s data — pantry items, purchase history, categories, and Trusted Senders — along with your account itself.
- Member of a household, not the owner: deleting your account removes your own account and membership. Data you previously contributed (such as items you added) remains part of the household’s shared records, since it was shared household data at the time it was created.
- Owner of a household with other members: you must transfer ownership or remove other members before your account can be deleted, so that a household in active use by other people is never deleted without their knowledge.
If you transfer ownership of your household to someone else, you give up the ability to unilaterally delete that household’s data — only the current owner can do so (subject to the same rule above if that household also has other members).
What is deleted and what may remain. Deleting your account removes your sign-in account, your household membership, and any pending access requests. Where a household is deleted, all of its data is deleted with it. Your Terms acceptance record (Section 1.7) is deleted too. We may keep limited backup copies of our database, which are overwritten on a rolling basis and are not used for any other purpose. Emails you forwarded to us are processed to extract items and are not otherwise kept as a mailbox on our side, though if a receipt cannot be processed, our technical logs may briefly contain part of its text, and our email provider may retain delivery logs for a limited period under its own policies.
If you leave a household without deleting your account (for example, to join a different one), your past contributions remain part of that household’s shared records, but your personal account and your access to that household are removed.
5. Children’s Privacy
The Service is not directed at children under 13, and we do not knowingly collect personal information from anyone under 13. If we learn that we have collected information from a child under 13, we will delete it. Users between 13 and 17 may only use the Service with a parent or guardian’s involvement, as described in our Terms of Service.
6. Your Rights and Choices
- Access and correction: you can view and edit most of your information directly within the App.
- Deletion: you can delete your account at any time as described in Section 4.
- Trusted Senders: household owners can add or remove Trusted Senders at any time from Personal Settings.
Depending on your location, you may have additional rights under applicable law (such as the right to request a copy of your data). You can reach us using the contact information in Section 9 to make such a request.
7. Data Security
We use industry-standard measures, including those provided by our infrastructure providers, to protect your information. No method of transmission or storage is completely secure, and we cannot guarantee absolute security.
8. Changes to This Policy
We may update this Privacy Policy from time to time. If we make material changes, we will provide notice through the App or by email. The “Last Updated” date at the top of this policy reflects the most recent revision.
9. Contact Us
